Book an outdoor event

Make a booking request to hold your event at a beach, park, road, gardens venue or waterfront location. When your booking details are approved, we’ll send you an event permit.

Request a booking

Events you might like to hold in outdoor spaces include the following examples:

  • community or commercial event
  • fundraiser
  • marketing activation
  • wedding
  • picnic
  • sausage sizzle
  • street party
  • parade
  • sports event, such as a running race and orienteering.

Locations

There are many outdoor locations to choose from for your event.

Commercial events are allowed on selected beaches, parks, reserves, gardens and sites on the Town Belt.

Make a booking

When you request a booking to hold an event, tell us:

  • what you would like to do
  • what location you’re considering
  • your preferred date
  • set up and pack down times
  • total number of people expected
  • if food will be sold
  • if alcohol will be sold or supplied
  • what equipment will be used at the event.

Depending on the scale of your event, you may need to give us at least 2 months' notice. Larger or more complex events may need 6–9 months' notice.

Request a booking

Once you’ve submitted the form, we’ll get back to you within 10 working days to let you know availability and the next steps, such as arranging a site visit to check the location is right for your event. We’ll also advise what documentation you need to provide.

When your booking details are approved, we’ll send you an event permit to confirm you have permission to use the location for that event.

Site map, plans and other permits

You may need to provide a site map that shows where any equipment and vehicles will be positioned and a health and safety plan.

If you’re planning an outdoor event with more than 1,000 people, you'll need to submit an event waste management and minimisation plan.

There are other permits related to running an event you may need, for instance, if you're selling food or alcohol – find out about organising an event.

Fees

There is a fee for hiring an outdoor venue. We will confirm these once we have reviewed your application. Registered charities and community groups may qualify for a fee reduction. You may be charged a late fee if you submit your application less than 20 working days before your event.

Bond

We may need a bond, which we will return to you after the event, providing the environment is as you found it, for example:

  • no rubbish left on-site
  • no damage to grass or turf, such as divots or muddy patches.
